President, Helen Ingersoll, called the meeting to order at 7:00pm

Helen read the NCDCTA Charter.

NCDCTA BOARD TEAM CHARTER:

• We the board of the NCDCTA hold the following values as guiding principles to carry out the mission of our organization.
• To educate, promote camaraderie and recognize achievement in dressage and eventing.
• Respect, Humility, Patience, Self Awareness, Supportiveness, Accountability, Listening, Generosity, and Helpfulness
• Communication that is: Clear, Flexible, Ongoing, Supportive, Constructive and Safe while celebrating brave efforts to question and disagree.
• Decision making that is shared. Roles that can be flexible and board members that are engaged, present, and share appreciation for and with one another, freely.

2025 HOY year will run through Dec 14th. Results must be submitted by 12/18/25. 2026 membership year starts 12/1/25, ends 11/30/26

Lisa will reach out to each chair lead to discuss content creation.

Winter Solstice: Jordan went over the spreadsheet to organize all the tasks to organize for the show. Amy will turn the spreadsheet into a project tracker.

We are receiving funds for 2026 show recognition and participants and auditors for the L-program.

Volunteer Report: Charlotte Meli

Need ~15 people per day for 5 rings

Full day volunteer card is 8hrs of work ($60)

Considering flat fee with possibility of volunteer cards for additional people

Idea for more volunteers: provide exchange (cash and or fleece jacket) to clubs to get volunteers

Donate $60 to club for 8 hours of work, donate $30 for 4 hours

L-program updates: 28 participants, 23 auditors, current revenue: $36.430, projected expenses; $4000. Session A: Nov 22-23, Session B: end of February 2026, Session C: May 2026

Jr/Yr Report: Mandi Martyn

Emailed War Horse Eventing Scholarship awardee to submit their write up and a pic by next Wednesday. Will put that on the new website! We selected 2 applicants but only one rider participated.

Received 2 scholarship applicants for Winter Solstice. Reviewing this week.

Will finalize wine & cheese and costume class this week and send plan in email

Next meeting: December 2, 2025 @ 5:30pm in person
