Annual NCDCTA Volunteer Incentive Program
Purpose: To encourage volunteerism within NCDCTA and the equestrian community at large.
General Guidelines
- All volunteer hours must be self-reported to NCDCTA using the Volunteer Hour Reporting Form. The form will be pre-populated with NCDCTA-recognized competitions, clinics and events.
- Volunteer hours must be reported within ten (10) days of the end of the event.
- Eligible NCDCTA-recognized events can be found at https://ncdcta.org/Calendar.
- Any individual, regardless of membership, may report and accumulate volunteer hours, however, you must be an active NCDCTA member at the time volunteer hours are earned to qualify for the Annual NCDCTA Volunteer Awards.
- Volunteer hours may be reported in increments of 2, 4, 6 and 8 hours.
- Multiple volunteer days must be reported separately for the same event (e.g., Saturday-2hours, Sunday-8 hours, etc.).
Annual Volunteer Awards

- 1st Place – $500
- 2nd Place – $300
- 3rd place – $200
- Only current year volunteer hours/cards will be eligible for the Annual Volunteer Awards. Previous years volunteer hours/cards will not roll over to the next year.
- Awards will be made at the annual HOY Gala.
- In the event of a tie, the name of each tied volunteer will be put in a hat and drawn at random. The first name drawn will place above the second name, etc.
- Standings posted periodically online.
- Participants must be an active member at time volunteer hours/cards are earned, to participate in Annual Volunteer Award. Non-members can still earn volunteer hours/cards, but they would not apply to the Annual Volunteer Awards.
- NCDCTA Board of Directors and contractors are ineligible.
- Volunteer Hours year will mirror the competition year (December 1 through November 30)
- Volunteer hours self-reporting must be complete by December 10 annually.
- Each volunteer/competition year will start with a balance of Zero on December 1.
- Volunteer hours earned for the Annual Volunteer Awards Program are NOT Transferable for awards purposes, but may be transferred for use in a horse registration.
Volunteer Hours Outside of the Annual Volunteer Awards Program
- Volunteer hours/cards can be used to register a horse.
- Eight hours = one horse registration.
- Volunteer hours earned during the current year may be used to register a horse without reducing the amount earned for the Annual Volunteer Awards program.
- All volunteer hours/cards will roll over to the volunteer hour pool for each member/contact.
- Volunteer hours expire on December 31, five years after the issue date.
- Volunteer hours used for horse registrations are fully transferable using the online Volunteer Hour Transfer Form and must be initiated by the member/non-member issuing the transfer.
